Deep Blue Documents Services

Overview

The University of Michigan (U-M) Library offers deposit, access, and preservation services to support Deep Blue Documents and its users. Additionally, the U-M Library provides community management, end-user support, and system management services to provide ongoing support for Deep Blue Documents communities, respond to user inquiries, and supply system monitoring, back-up, and recovery.

Deposit Services

Deep Blue Documents offers a flexible, easy-to-use deposit process. A depositor completes a brief online deposit form and grants non-exclusive permission for Deep Blue Documents to distribute and preserve the Work (see Terms of Deposit) The deposit process includes the following:

  • Register with Deep Blue Documents and edit their user profile
  • Select a Collection in which to deposit a new Work
  • Enter required descriptive information (metadata) for the Work
  • Include additional optional metadata to describe the Work
  • Upload multiple files of various formats in the single Work
  • Specify formats of deposited files
  • Grant a non-exclusive license to allow U-M the right to distribute the Work in accordance with the specified distribution policy and to migrate its content to new file formats for the purposes of preservation (see Terms of Deposit)

Access Services

Deep Blue Documents gives users the ability to browse, search, and discover Works of interest, request one or more Works from the system, and take delivery of the requested Works. Those interested in accessing the contents of Deep Blue Documents can:

  • Locate Works via online search engines and the U-M Library’s Articles Search
  • Browse Deep Blue Documents contents by date, author, title, subject, Collection or community
  • Search for Works anywhere in Deep Blue Documents, or within a particular community or Collection
  • Search for matches within author, title, or full text and view results
  • View a Work overview, including: Deep Blue Documents core metadata, list of Collections that contain this Work, and links to each of the files (text, image, etc.) that comprise the Work
  • Download an individual Work to view it within a web browser or save the file (if the Work doesn’t have any access restrictions)

Preservation Services

Deep Blue Documents provides storage and preservation services to ensure the longevity of deposited Works. Users should be assured that Works deposited in many formats (see Preservation) will be accessible even when the original application in which it was created is obsolete and the means to access it are inoperable. For each Work, Deep Blue Documents:

  • Provides persistent storage, including appropriate back-up and recovery procedures
  • Assigns a permanent, unique Digital Object Identifier (DOI) that will not change and is appropriate to cite in other works
  • Supports a range of service levels for preservation and notifies users of Deep Blue Documents’ preservation constraints
  • Stores information about the Work’s origin and any updates, if applicable
  • Maintains an auditable history and record of changes to the Work

Collection Management Services

Deep Blue Documents’ Collection Management Services are a set of consultative and applied services designed to meet the needs of individual Collections. U-M Library staff will provide guidance in developing a Collection's workflow process, metadata requirements, and distribution policies as well as creating a Deep Blue Documents community homepage.

The U-M Library manages all aspects of the Collection set-up process, including:

  • Planning and scheduling new Collection set-ups
  • At the request of a user, facilitating an initial Collection discussion and explaining set-up requirements
  • Assisting in training Collection Administrators
  • Implementing a custom workflow for the depositing process including metadata defaults, if needed
  • Assisting in customizing Deep Blue Documents Collection home pages
  • Specifying a Collection's distribution policy and license requirements
  • Coordinating batch uploads of Works

End-User Support Services

The U-M Library will provide support to all Deep Blue Documents users. Support will be provided Monday through Friday, 9:00am to 5:00pm Eastern time (excluding University holidays). Inquiries will typically receive a return response via email within five business days.

The Deep Blue Documents web page provides documentation in the About and Help sections to answer routine questions and user support contact information for more complex questions.

System Management Services

System Management Services are the back-office support for Deep Blue Documents, working to ensure optimal system performance and high availability.

The U-M Library will provide a comprehensive set of technical services for Deep Blue Documents system operations, including:

  • Performing system monitoring, testing, and debugging
  • Performing system administration
  • Ensuring the Deep Blue Documents system adheres to applicable U-M Information Technology policies and standards
  • Monitoring and upgrading Deep Blue Documents utility programs and middleware
  • Developing approved system enhancements
  • Performing batch uploads of Works
  • Maintaining a registry of known content and metadata formats for preservation purposes.

Deep Blue Documents will provide System Management Services with support from the U-M Library Information Technology Division. The U-M Library provides continuing support for Deep Blue Documents’ server, storage, and network operations.
